Your role as a receptionist is not just answering phones – you are the first impression, the organizer, and the heart of our clinic.

The Impact You’ll Make

You are the indispensable front-line ambassador responsible for maintaining the smooth, organized flow of our clinic, ensuring both our clients and patients receive a positive experience from the moment they walk through the door.

  • Client Experience Architect: You’ll manage appointments, communication, and client flow, ensuring every client feels welcomed, heard, and cared for.
  • Operational Leader: You’ll coordinate the three-doctor schedule, handle financial transactions, and maintain meticulous medical records.
  • Team Support: You’ll be the critical link between clients and our clinical staff, facilitating communication and providing administrative support that allows our doctors and technicians to focus entirely on patient care.

Key Responsibilities

Client & Communication Management

  • Professionally and warmly greet all clients and patients upon arrival and departure.
  • Efficiently manage a high volume of multi-line phone calls, triaging patient urgency and scheduling appointments appropriately for three doctors.
  • Provide exceptional service by answering client questions, managing prescription refills, and explaining basic hospital policies and procedures.
  • Accurately process all check-in/check-out procedures, including presenting estimates, explaining invoices, and managing cash/credit card payments.

Administrative & Records Management

  • Maintain precise and organized electronic and physical medical records, including filing, scanning, and retrieving patient histories.
  • Handle all incoming and outgoing medical correspondence (referrals, patient transfers, lab results) with meticulous attention to detail.
  • Ensure the reception area, lobby, and exam rooms are clean, well-stocked, and present a professional appearance at all times.

Hospital Flow Coordination

  • Work proactively to keep doctor and technician schedules running smoothly and on time, communicating potential delays to clients with empathy.
  • Manage patient drop-offs, pick-ups, and specialty food/medication orders.
  • Assist in maintaining hospital inventory and stocking supplies for the front office.
What You Bring
  • Experience: 1-3 years of experience in a veterinary or medical office setting is preferred.
  • Skill Set: Proven proficiency with veterinary practice management software (we use Cornerstone) and strong computer skills (Microsoft Office, email).
  • Attitude: Exceptional interpersonal skills, a professional demeanor, a positive and resilient attitude, and a genuine love for animals and people.
  • Core Competencies: Must be highly organized, detail-oriented, able to multi-task under pressure, and possess outstanding written and verbal communication skills.
